Fleet & Equipment

Every vehicle ready. Every check on the record.

A vehicle register that fills itself in from the DVLA, daily inspections that take failed vehicles off the road automatically, defects anyone can raise, cleaning with ATP evidence — and Make Ready load lists that keep every bag and vehicle stocked.

The vehicle register

A register that keeps itself up to date

Add a registration and AmbuNet does the typing — then keeps every vehicle's paperwork, availability and status in one place.

🚗

Automatic DVLA lookup

Enter the registration and the vehicle's details arrive from the DVLA automatically — live MOT expiry, tax due date and vehicle particulars, with no re-keying. Expiries surface on dashboards long before they bite.

🧾

Servicing, MOT & insurance records

Full service history with cost totals per vehicle, MOT and insurance records with dates and documents — so the true cost of running each vehicle is a number, not a shoebox of receipts. Vehicle costs also feed event margin in Finance.

📆

One availability timeline

Each vehicle's timeline shows PTS duties, event deployments and unavailability side by side, with conflict-checked unavailability periods — so no one plans an ambulance that's already committed or booked into the garage.

🧼

Statuses that mean something

Vehicle statuses include Decontamination Required — an IPC state, not a sticky note on the windscreen. A vehicle that isn't safe to crew is visibly not available until it is.

Daily inspections

Checks that protect you

Vehicle Daily Inspections run from the crew app or web, with per-vehicle-type checklists so an ambulance, an RRV and a support van each get the right questions.

  • Drug-bag checks and photos built into the inspection, with straight-through defect raising when something's wrong. Bag custody itself lives in Medicines.
  • Failed checks act, not just record — a failed inspection automatically marks the vehicle out of service, so it can't be planned or dispatched until it's fixed.
  • Periodic safety checks — deeper scheduled inspections, done in-house or at the garage, alongside the daily routine.
  • Start of Shift merges the VDI and the equipment check into one crew flow — one pass through the vehicle, everything recorded.

If it's broken, dirty or due a check — it's tracked

Reporting is open to everyone, evidence is captured at the point of work, and KPIs stay honest.

🔧

Defects anyone can raise

Every signed-in user can report a defect against a vehicle or a QR-scanned piece of equipment — with photos, IPC flagging, priorities and assignees, managed on a kanban board. The crew member who spots it reports it; nothing waits for a manager.

🧽

Cleaning with evidence

Interim, deep and decontamination cleans with configurable checklists and frequencies, ATP testing capture (pass/fail, or a reason it wasn't done) and overdue tracking — with exemption handling for off-road vehicles, so your cleaning KPIs stay fair.

🏷️

A QR-labelled asset register

Every asset — medical devices, bags, gas, moving & handling, IT — with printable QR labels. Scan one to open the record, raise a defect or run a check on the spot. Maintenance logs with expiries and vehicle assignment complete the picture.

Make Ready

Every vehicle stocked to the same standard

★ Premium tier

Load lists define what a fully stocked vehicle or bag should contain — set up once with a wizard, then enforced on every check.

  • Checks that know the answer — expected consumable counts are pre-filled from in-date stock, so crews confirm rather than count from memory, with present / missing / replaced handling.
  • Pick-list PDFs — shortfalls become a printable pick list for the stores run.
  • A fleet-wide restock queue with a claim mechanism and consolidated pick lists, so two people never restock the same vehicle.
  • Quick top-ups with expiry capture — restock in seconds without losing batch-expiry discipline.
  • Trend panels showing which vehicles and which items most often run short — so you fix the pattern, not just today's gap.
